Guide: choosing a CMMS
How to compare CMMS software, including the names people search
People search "CMMS vs UpKeep", "Limble vs Fiix", "MaintainX" and "SAP PM" because they are trying to pick a system, not because a scoreboard exists that stays true. This page says what each of those searches is usually asking, and the checks that matter in an industrial plant. It does not score another vendor's feature list. Feature lists change, and we have not re-tested their products for this page.
Key takeaways
- Compare the job you need done, not a grid of ticks copied from marketing pages.
- UpKeep, Limble, Fiix and MaintainX are widely searched as CMMS products aimed at work orders and mobile use. Confirm the current product on their own sites.
- SAP PM and IBM Maximo are enterprise asset systems. The question is usually whether you need that weight.
- Ask every vendor the same five questions: condition data, audit evidence, industry records, what is not included, and what a technician does on a bad network.
- MaintenanceIQ is an industrial CMMS. This page states what it does. It does not declare a winner.
What the search is usually asking
Names below are the products buyers type. The "question behind it" is the decision, not a review of that product. Open the vendor's own site before you believe a feature claim from anywhere else, including here.
| Search | Question behind it | Where to confirm |
|---|---|---|
| UpKeep | Do we want a CMMS centred on work orders and a mobile app for a team that is outgrowing spreadsheets? | upkeep.com |
| Limble | Do we want a CMMS that sells itself on being quick to learn? | limble.com |
| Fiix | Do we want a CMMS from a vendor now tied to an automation company (Rockwell)? | fiixsoftware.com |
| MaintainX | Do we want mobile work orders and procedures as the main thing technicians touch? | getmaintainx.com |
| SAP PM or SAP EAM | Do we already run SAP, and is maintenance a module of that estate or a separate shop-floor system? | sap.com |
| IBM Maximo | Do we need an enterprise asset suite across sites, with the project that implies? | ibm.com |
None of these sentences is a feature list. If a salesperson's grid disagrees with the vendor's current documentation, trust the documentation and a trial on your own machines.
Five checks to put to every vendor
Use the same questions in every demo, on one of your assets, not on a sample factory.
- Condition. Can a reading we already take, from a round or from a PLC, get a warning limit and open a job, or is "condition monitoring" a different product?
- Evidence. When an auditor asks for a year of PMs and calibrations on one machine, is that a report you generate or a week of exports?
- Industry records. If you pour metal or pack food, does the system know a heat, a shell, a sanitation task or a lot, or will you keep a second spreadsheet?
- What is not included. Ask what is a paid module, what is not offered, and what the technician cannot do when the network drops. Write the answers down.
- Who it is for. A five-person crew and a multi-site automotive foundry should not end the demo equally impressed. Ask which of those the product is built for.
Where MaintenanceIQ sits, stated plainly
MaintenanceIQ is an industrial CMMS for maintenance, reliability and compliance, from Codiot Technologies LLP. Core covers work orders, preventive maintenance by calendar, usage or whichever comes first, assets, calibration with uploaded certificates, spare parts, breakdowns and cost. Condition monitoring, EHS, and evidence packs for VDA 6.3, IATF 16949, FSSC 22000 and ISO 55001 are licensed on top. Foundry and food modules are shipped. The app is in English.
Single sign-on and API access are included. Not offered today: a SOC 2 report, webhooks, or saving a work order with no network. The category comparison, including the rows where a generic app is ahead, is on industrial CMMS vs a generic work-order app. Pricing is a quote per plant, with a three-day trial. We do not publish another vendor's price.
How to run the comparison
Shortlist two or three systems, not seven. Give each the same asset, the same PM, and the same auditor question: show me a year on this machine. Write the five checks down before the demo so a good presenter cannot replace them with a tour of dashboards.
Decide what would make you walk away. For some plants that is the absence of a public integration. For others it is the absence of an evidence pack. Those are different plants. The compare page already marks several places where a generic work-order app is the better fit. Use it. Do not talk yourself into an industrial CMMS you will not configure. Keep the trial on one line for the three days, with your own asset list, and judge the record you can pull at the end, not the tour.
Frequently asked questions
Is MaintenanceIQ the same kind of tool as UpKeep or Limble?
They are all talked about as CMMS products. MaintenanceIQ is built for industrial plants that also need condition limits, audit evidence and, where it applies, foundry or food records. Whether a lighter CMMS is enough is the question on the compare page.
Should we use SAP PM instead of a CMMS?
If maintenance has to live inside an SAP estate you already run, that is an IT decision as much as a maintenance one. If technicians need a record at the machine and you do not want an enterprise project first, start from the shop-floor job and ask SAP and the CMMS the same five checks.
Can you send a feature matrix against Fiix or MaintainX?
Not as a scored grid. Ask both vendors the five checks in writing, and trial the short list on one line. We will answer those checks for MaintenanceIQ in a demo.
Does a CMMS replace an MES?
No. That is a different question, answered in MES vs CMMS.
